The Integrated Media Assistant supports the planning, implementation and maintenance of media campaigns across multiple channels. As an entry level position, the Integrated Media Assistant position represents the start of a media career. This role reports to the Director of Social Media.

This position is essential in the day-to-day tactical management of client media accounts and requires an individual that works well in a team-based, fast paced, detail-oriented environment. While advanced media knowledge is not expected, a successful Integrated Media Assistant is resourceful and demonstrates an initiative to participate in advanced projects.

The Integrated Media Assistant position is training-intensive. Aptitude for learning new skills—both technical and soft—and procedures is essential. The Integrated Media Assistant is expected to be an active participant, increasing involvement over time in the position. The Integrated Media Assistant is also encouraged to contribute ideas and insights that will benefit Amélie’s clients.

KEY AREAS OF RESPONSIBILITY
Media Planning and Execution:

  • Work closely with Planners on all accounts to prepare media strategies and plans that are shared with both internal teams and clients
  • Create and maintain records of media plans, insertion orders, schedules, and contracts
  • Generate insertion orders using Advantage agency management system to reserve advertising space, send them to vendors/partners, and confirm receipt
  • Schedule social media campaigns using partner’s self service, SaaS-based ad serving platforms
  • Help set up 3rd party ad server/tracker system, and follow through by ensuring tags have been received and are enabled
  • Maintain relationships with 3rd party systems such as Facebook, Snapchat, Twitter, TikTok, DoubleClick Campaign Manager, and comScore to ensure campaigns are appropriately leveraging technology to optimize delivery
  • Maintain 3rd party ad server/tracker revisions throughout campaign
  • Handle daily campaign maintenance including questions regarding creative, 3rd party ad servers, tracking, and trafficking
  • Confirm campaigns remain on budget and are tracking to full delivery
  • Assist Planners in evaluating campaign effectiveness with post analysis reports
  • Compile performance data and assist in developing weekly, monthly, quarterly or ad hoc client reporting 
  • Assume ownership of campaign forecasting, billing spreadsheets, invoice processing, and billing discrepancies
  • Assist in the evaluation of new and existing media opportunities
  • Develop a knowledge of online planning/research tools
  • Demonstrate high-functioning multitasking skills: keeping multiple projects on-track, effective time management capability, and prioritization of assigned workload
  • Other responsibilities as needed; e.g. assembly of presentation materials, client binders, meeting setup, and other administrative tasks

Client and Internal Relationships:

  • Support Planners in preparing and delivering work to clients and colleagues
  • Work with billing department to confirm receipt of invoices and reconciliation
  • Manage internal/client status reports
  • Actively participate in all status meetings 
  • Manage relationships with external vendors/partners

Strategic Thinking and Leadership:

  • Helps keep the agency up-to-date on new opportunities, issues, and current media trends through market research; e.g. industry periodicals, email newsletters, websites, etc.
  • Demonstrates clear active listening skills and ability to apply learnings over time
  • Identifies potential issues/problems; knowing when to escalate them and propose solutions where possible
  • Takes clear ownership and accountability of assigned tasks

Communications Skills:

  • Expresses oneself clearly and concisely in oral communications
  • Writes in a clear and compelling manner
  • Organizes ideas and information logically and sequentially
  • Possesses mature and professional business acumen in personal and written communications

EXPERIENCE/KNOWLEDGE REQUIRED

  • Bachelor’s Degree
  • 1-3 years of agency or client experience working with media buying and ad serving platforms/technologies
  • Familiar with digital media elements and tactics
  • Highly analytical and great problem solving skills
  • Ability to pre-empt issues and be proactive in producing solutions
  • Capable to work under pressure and with short deadlines
  • Aptitude to build and maintain strong working relationships
  • Solutions orientated with strong critical thinking skill
  • Strong math and analytical skills
  • Excellent Excel skills
  • Experience working with business applications—Google Workspace desired
  • Ability to learn server-based software and tools; experience with Advantage agency management system a plus
  • Prior knowledge of ad serving platforms preferred (GoogleAds/Campaign Manager, Facebook Business Manager, Snapchat/Twitter/TikTok Ads Managers, etc.)
